How do I import Contacts?

Wealthbox has a robust contact import tool that allows users to import new contact records easily via CSV and Excel files.

⚠️ The process described here will not import updates to existing contact records if you would like information on importing updates to existing contact records in Wealthbox, email support@Wealthbox.com.

To import contacts, you can either go to the contacts list view and select Import from the menu on the right-hand side or navigate to Settings > Customizations and select Import (accessible via the three dots in the top-right corner).

  1. Prioritize Detailed Information: If you have multiple sources of data, you will want to start with the file containing the most detailed information (e.g., companies, households). 
  2. Import by Record Type: Import your contacts in the following order:
    • Companies: This includes company names and any associated details like phone numbers, emails, and addresses.
    • Households: This includes household names and any supported details. Keep in mind, household records do not include many demographic fields. The purpose of the household records is to link family members and to provide a consolidated activity stream of those members.
    • People: This includes individual names and any associated details, such as their relationship to a company or household.
    • Trusts: This includes trust names and any associated details.

Why This Order Matters:

  • Accurate Linking: By importing companies and households first, you create a foundation for your contact database. When you import people, the system can accurately link them to the correct company or household based on the information provided.
  • Complete Record Information: Importing companies and households first allows you to include all relevant details.

By following these guidelines, you can ensure a smooth and accurate import process.

Once your file is uploaded, a mapping page will appear, allowing you to match fields from your file to those in Wealthbox.

Note: Some fields may auto-map if the column headers in your file match Wealthbox fields. Be sure to verify all mappings and manually map any unidentified fields to ensure they are imported.

 

 
Be sure to select Continue Import to proceed to the Import Details page, where you can view your Import ID and other relevant import details.
 

What are common Contact import questions and best practices?

Q: Is there a contact import template available?
A: Yes, a contact import template is available and linked at the bottom of this article. While you are not required to use the template, we highly recommend reviewing it for important information on formatting, required columns, and acceptable field types.

You are welcome to add columns for any custom fields you’d like to include. Using the template as a reference helps ensure your data is imported smoothly and aligns with valid formats.


Q: How do I indicate that an address is a mailing address during the contact import process?

A: When importing addresses, a "Mailing Address Type" column is necessary for the "Mailing Address" box to be checked on the Contact record. Just mapping address fields to "Mailing Address" during the import process will not check the Mailing Address box on the contact record.

⚠️ It's important to note that if an address is not marked as the "Mailing Address" within the edit page of the contact's record, it will not appear in the report results or in mail merges

 

Q: How do I set the visibility of contact records during the import process?

A: On the screen where you upload the file, you have the option to choose the visibility of the contacts created in the file before you are progressed to the mapping page, as depicted in the screenshot below.
