Overview

This article explains how to connect YouCanBookMe and Wealthbox CRM using Zapier, so new bookings can automatically create records in Wealthbox. No walkthrough video is currently available for this integration.

What is the YouCanBookMe–Wealthbox integration?

The YouCanBookMe–Wealthbox integration is an automated connection, built through Zapier, between YouCanBookMe (an online scheduling tool that links to your calendar so clients can book appointments) and Wealthbox's CRM. It is not a native, built-in integration — it runs through Zapier, a third-party automation platform.

How does it work?

Zapier links the two apps using a trigger (an event in one app) and an action (a resulting event in the other app). For example, when a booking is made or changed in YouCanBookMe, Zapier can automatically create a matching event, contact, or task in Wealthbox.

Available YouCanBookMe triggers

  • Booking Notifications — starts the automation when changes happen on a booking. Requires selecting a subscription level, subscription resource IDs, and notification types.

Available Wealthbox triggers

  • New Contact
  • New Event
  • New Opportunity
  • New Task
  • New Note
  • New Project
  • New Workflow
  • New Comment
  • Task Complete
  • Workflow Step Complete
  • Contact Updated (Premier and Enterprise plans only)

Available Wealthbox actions

  • Create Contact
  • Update Contact
  • Find or Create a Contact
  • Find Contact
  • Create Task
  • Create Note
  • Create Event
  • Create Opportunity
  • Create Household
  • Add Member to Household
  • Start Workflow

Step-by-step setup instructions

  1. Sign in to Zapier, or create a free account.
  2. Select Create Zap.
  3. Choose YouCanBookMe as the trigger app.
  4. Select Booking Notifications as the trigger event.
  5. Connect your YouCanBookMe account and enter your login credentials when prompted.
  6. Set the subscription level, subscription resource IDs, and notification types you want to trigger the Zap.
  7. Choose Wealthbox CRM as the action app.
  8. Select an action event, such as Create Event or Create Contact.
  9. Connect your Wealthbox account and enter your login credentials when prompted.
  10. Map the fields you want to pass from YouCanBookMe into Wealthbox, such as the booker's name, email, and appointment time.
  11. Select Test step to confirm the data passes correctly.
  12. Turn on the Zap to activate the automation.

Troubleshooting steps

  • Issue: New bookings aren't triggering the Zap. Solution: Confirm the subscription resource IDs and notification types selected in step 6 match the calendar or booking page you want to monitor.
  • Issue: Fields aren't mapping correctly to Wealthbox. Solution: Revisit the field mapping in step 10 and confirm each YouCanBookMe field is matched to the correct Wealthbox field, especially required fields like Title or Starts At.
  • Issue: The Wealthbox action isn't available to select. Solution: Some triggers, such as Contact Updated, are limited to Premier and Enterprise Wealthbox plans. Confirm your plan level supports the trigger or action you're trying to use.
  • Issue: The Zap test fails at the Wealthbox step. Solution: Reconnect your Wealthbox account under the Zap's account settings and confirm all required fields (marked Required) are mapped.

FAQ

  • Can I trigger from Wealthbox instead of YouCanBookMe? Yes. Any Wealthbox trigger, such as New Contact, can be paired with a YouCanBookMe action, if one is available for your plan and setup.
  • Do I need to know how to code to set this up? No. The setup is done through Zapier's visual builder.
  • Can I automate more than one type of booking event? Yes. Each automation is set up as its own Zap, so you can create multiple Zaps to cover different booking notification types.
