Overview
This article explains how to connect OnceHub and Wealthbox CRM using Zapier, so booking activity in OnceHub can automatically create or update records in Wealthbox. No walkthrough video is currently available for this integration.
What is the OnceHub–Wealthbox integration?
The OnceHub–Wealthbox integration is an automated connection, built through Zapier, between OnceHub (a scheduling and lead-engagement platform) and Wealthbox's CRM. It is not a native, built-in integration — it runs through Zapier, a third-party automation platform.
How does it work?
Zapier links the two apps using a trigger (an event in one app) and an action (a resulting event in the other app). For example, when a new meeting is booked in OnceHub, Zapier can automatically create a matching event, contact, task, or note in Wealthbox.
Available OnceHub triggers
- Booking Scheduled — starts the automation when a new booking is scheduled.
- Booking Lifecycle Event — starts the automation when a booking's status changes to Scheduled, Rescheduled, Canceled, Completed, or No-show.
- Booking Rescheduled
- Booking Canceled
- Booking Completed
- Booking Cancelled and Replaced — starts the automation when a booking is canceled and replaced by a new booking.
- Booking No-Show — starts the automation when a booking is manually marked No-show.
- Reassigned Booking — starts the automation when a booking is reassigned.
- Contact Captured — starts the automation when a contact is captured.
- Contact Updated — starts the automation when a captured contact is updated.
- Conversation Lifecycle Event, Conversation Started, Conversation Closed, Conversation Abandoned — start the automation based on chatbot conversation status.

Troubleshooting steps
- Issue: New OnceHub bookings aren't triggering the Zap. Solution: Confirm the correct trigger event is selected in step 4 and that your OnceHub account is still connected and authorized.
- Issue: Fields aren't mapping correctly to Wealthbox. Solution: Revisit the field mapping in step 9 and confirm each OnceHub field is matched to the correct Wealthbox field, especially required fields like Name or Starts At.
- Issue: The Wealthbox action isn't available to select. Solution: Some triggers, such as Contact Updated, are limited to Premier and Enterprise Wealthbox plans. Confirm your plan level supports the trigger or action you're trying to use.
- Issue: The Zap test fails at the Wealthbox step. Solution: Reconnect your Wealthbox account under the Zap's account settings and confirm all required fields (marked Required) are mapped.
FAQ
- Can I trigger from Wealthbox instead of OnceHub? Yes. Any Wealthbox trigger, such as New Contact, can be paired with an OnceHub action, such as Cancel Booking or Find Contact.
- Do I need to know how to code to set this up? No. The setup is done through Zapier's visual builder.
- Can I automate more than one type of booking event? Yes. Each automation is set up as its own Zap, so you can create multiple Zaps to cover different triggers, such as new bookings, cancellations, and reschedules.
