The Wealthbox AI Notetaker for Desktop is a lightweight Mac and Windows app that lets you see today's meetings, start and manage AI Notetakers, and capture in-person meetings — all without opening the web app.
Sign in once with your Wealthbox account, and your meetings, Notetaker controls, and pre-meeting reminders are one click away from your dock or system tray.

Who can use it
Anyone with a Wealthbox account can install the desktop app to view today's meetings and join virtual calls.
AI Notetaker controls require a Notetaker license or an active free trial — the same access required to use the Notetaker in the web browser.
How to download and install
- Go to wealthbox.com/ai-notetaker-for-desktop and download the installer for your platform.
- Open the downloaded file and follow the on-screen instructions.
- Open the app and sign in with your Wealthbox account. Sign in opens your browser — approve the request, and you'll be returned to the app.

macOS permissions
On the first run, macOS will request three permissions. All three are required for an in-person meeting recording. Virtual and phone meetings do not require any of these permissions.

Windows permissions
On Windows, only Microphone access is needed, using the standard Windows prompt. System audio capture on Windows does not require a separate permission.
Finding the app after installation
macOS: The app is available from both the Dock and the menu bar at the top of your screen. The menu bar item gives you quick access to your meetings list without bringing the full window forward.
Windows: The app appears in the Start menu under Wealthbox AI Notetaker and runs from the taskbar.
Starting a Notetaker
Click any meeting on the home screen to see its details, then start a Notetaker from there.
For an unscheduled call, click New meeting to set one up and launch a Notetaker immediately.
Pre-meeting reminders
One minute before each scheduled meeting, the desktop app sends a notification with one-click actions to start the Notetaker and join the call. Reminders are on by default.
To turn reminders on or off:
- Click the three-dot menu in the app.
- Choose Settings.

Toggle notifications on or off. Your setting is remembered across restarts.

FAQs
Q: Can I stop or manage a desktop-started Notetaker from another device?
A: Yes. A Notetaker is the same Notetaker regardless of where it was started. The desktop, web, and mobile apps all show live recording status and can start, stop, or manage it — including in-person Notetakers started on desktop. Notetakers started on web or mobile also appear in the desktop app's meetings view.
Q: Do I need an AI Notetaker subscription to use the desktop app?
A: No. Anyone with a Wealthbox account can install the desktop app and view today's meetings and join virtual calls. AI Notetaker controls require the same access as the web app — a Notetaker license or active free trial.
Q: Does the app update itself?
A: Yes. New versions download in the background and apply the next time you quit and reopen the app. You can also install an update immediately when a badge appears on the three-dot menu.
Q: Why am I getting notifications for the wrong meetings?
A: Notifications are based on the workspace selected in the dropdown in the top-left corner. Make sure you have the correct workspace selected.
