How to Add AI Notetaker to an Active Phone Call

You don't need to start a phone call from Wealthbox to use AI Notetaker.

If you're already on a phone call, the AI Notetaker can call you and join the conversation. Simply merge the two calls together, press 1 to begin recording, and AI Notetaker will start capturing the conversation.

When the call ends, Wealthbox automatically generates and attaches:

  • A transcript
  • Meeting summary
  • Action items
  • A draft follow-up email

to the meeting record.


Before You Begin

To add AI Notetaker to an active call, your phone and carrier must support:

  • Call Waiting
  • Conference Calling (also known as 3-way calling)
  • Call Merging

If your phone or carrier does not support these features, you may not be able to add AI Notetaker to a live call.


Option 1: Start from Meet Now

  1. Click New Meeting and select Meet Now.
  2. Open the Phone Call tab.
  3. Switch to in progress call.
  4. Optionally select a Related To record such as a contact, project, or opportunity.
  5. Click Call Me.

Wealthbox immediately calls your phone number.

Option 2: Start from a Meeting Record

  1. Open an existing meeting.
  2. In the AI Notetaker sidebar widget, select the Phone Call tab.
  3. Below the contact picker, click Call in progress?
  4. Click the Phone icon.

Wealthbox immediately calls your phone number.

Join the Active Call

When you receive the callback from Wealthbox:

  1. Answer the incoming call.
  2. You'll hear a prompt asking you to merge the calls and press 1.
  3. Use your phone's Merge Calls or Conference feature to combine the calls.
  4. Press 1.

Everyone on the call will hear an announcement that the call is being recorded.

AI Notetaker is now active and recording the conversation.

The AI Notetaker widget will switch to live controls, allowing you to:

  • Stop recording
  • Add highlights during the call

After the Call

When the recording is stopped or the call ends naturally, Wealthbox automatically processes the conversation and attaches the following to the meeting:

  • Transcript
  • AI-generated summary
  • Action items
  • Draft follow-up email

You can review and edit all generated content before using it.


Tip: Verify Your Phone Number

If you've verified your caller ID number in Wealthbox, your callback number will be filled in automatically.

If you have not verified your number, you'll need to enter it manually each time.

To verify your phone number and streamline future calls, visit the Click to Call Settings page.


Important Notes

Speaker Identification

AI Notetaker does not currently provide speaker labels for active phone calls.

Because your phone carrier merges all participants into a single audio stream before Wealthbox receives the audio, the transcript cannot distinguish individual speakers.

However, AI-generated summaries, action items, and follow-up drafts still use the full conversation context.


Troubleshooting

I Never Received the Wealthbox Callback

This can happen if:

  • Call Waiting is disabled on your device
  • Your carrier blocks incoming calls while another call is active
  • Your phone plan does not support simultaneous calls

Verify that Call Waiting is enabled and contact your carrier if needed.


My Original Call Disconnects When I Answer the Wealthbox Call

Some carriers do not support placing one call on hold while answering another.

Contact your carrier to confirm your plan includes:

  • Call Waiting
  • Conference Calling

I Don't See a Merge Calls or Conference Button

Conference calling must be supported by both your phone and your carrier.

If you do not see a merge option after answering the Wealthbox callback:

  • Confirm conference calling is included with your phone plan.
  • Contact your carrier for assistance.

Conference calling behavior may also vary when one participant is using:

  • An international phone number
  • A business phone system (PBX)
  • A desk phone
  • A VoIP service such as Google Voice

If possible, test with a standard domestic mobile number to isolate the issue.


Merge Calls Doesn't Work or Disconnects Someone

Try the following:

Disable Wi-Fi Calling

Some carriers experience issues with conference calling when Wi-Fi Calling is enabled.

Temporarily disable Wi-Fi Calling and retry using your cellular connection.

Check the Type of Phone Number

Conference calling can behave differently when participants are using:

  • International numbers
  • Business phone systems (PBX)
  • Desk phones
  • VoIP services such as Google Voice

Testing with standard mobile numbers can help determine whether one of these services is causing the issue.


Frequently Asked Questions

Do I need to start the call from Wealthbox?

No. AI Notetaker can be added to an existing phone call at any time, provided your phone and carrier support conference calling.

Will everyone know the call is being recorded?

Yes. After you merge the calls and press 1, participants hear an announcement that the call is being recorded.

Where is the transcript stored?

The transcript, summary, action items, and draft follow-up email are automatically attached to the meeting record in Wealthbox.

Can AI Notetaker identify speakers on a phone call?

Not currently. Active phone calls are received as a single merged audio stream, which prevents speaker identification.

Why can't I merge the calls?

Conference calling functionality is controlled by your phone carrier and device. Wealthbox cannot enable or manage conference calling features. If you cannot merge calls, contact your carrier to confirm support for conference calling and Call Waiting.
