Instead of being limited to standard CRM records such as Contacts, Opportunities, Tasks, and Projects, Custom Objects let you create your own record types to support your firm's specific workflows.

What Are Custom Objects?
Custom Objects are custom record types created by your organization.
Each Custom Object:
- Has its own name and icon
- Appears in the left navigation menu
- Supports custom fields
- Supports notes, tasks, and workflows
- Can be linked to contacts, opportunities, and other custom objects
- Can be reported on
Once created, Custom Objects behave similarly to other records throughout Wealthbox.
Creating a Custom Object
Organization Administrators can create and manage Custom Objects.
When creating a Custom Object, you'll define:
- A singular name (e.g., Policy)
- A plural name (e.g., Policies)
- An icon
- Custom fields
- Relationships
- Workspace visibility settings
You can also choose to make the object read-only if records will be managed through imports or external integrations. This capability is available exclusively on Enterprise plans.
Custom Objects can be configured as read-only.
When enabled:
- Users cannot create records manually
- Users cannot edit records through the Wealthbox interface
- Records can still be maintained through imports or external integrations
This is useful when Wealthbox is receiving data from another system and should not be the source of record.
Custom Fields
Custom Objects support a variety of field types, including:
- Text
- Number
- Currency
- Date
- Checkbox
- Dropdown (Single Select)
- Multi-Select
- URL
- Relationship Fields
Fields can be grouped into sections and arranged to match your preferred layout.

Custom Object records can be viewed in two ways:
Table View
View all records in a sortable table similar to Contacts and Opportunities.

Kanban View
For process-driven records, you can enable a Kanban board.
Kanban views allow users to:
- Organize records by stage
- Drag and drop records between stages
- Visualize progress through a process
A Custom Object must contain a single-select field before Kanban can be enabled.
Relationships
One of the most powerful features of Custom Objects is the ability to create relationships between records.
Contacts and Custom Objects
Custom Object records can be linked directly to Contacts.
Examples:
- Contact → Insurance Policy
- Contact → Trust
- Contact → Retirement Plan
When linked, related records appear directly on the Contact record.
Opportunities and Custom Objects
Custom Objects can also be linked to Opportunities.
Examples:
- Opportunity → Insurance Policy
- Opportunity → Annuity Contract
- Opportunity → Investment Proposal
When viewing an Opportunity, related Custom Objects appear in the sidebar.
When viewing a Custom Object, related Opportunities appear in a dedicated widget.
Relationships are automatically synchronized, so linking from either side creates the relationship everywhere.
Custom Object to Custom Object Relationships
Custom Objects can also relate to other Custom Objects.
Examples:
- Financial Account → Custodian
- Policy → Carrier
- Trust → Trustee
These relationships can be used throughout Wealthbox reporting and workflows.
Using Workflows with Custom Objects
Custom Objects work seamlessly with Wealthbox Workflows.
You can:
- Trigger workflows on Custom Object records
- Create tasks automatically
- Assign responsibilities
- Track workflow progress
- View workflow history directly on the record
Custom Objects also support an Assigned To field to help teams manage ownership and accountability.

Importing Custom Object Records

Update Existing Records
Existing Custom Object records can also be updated in bulk using:
- Wealthbox Record ID
- External System ID

Workspace Visibility
Organization Administrators can control which Workspaces have access to each Custom Object.
If a Workspace is not granted access:
- The Custom Object will not appear in navigation
- Users cannot create records
- Users cannot edit records
