The Wealthbox AI Assistant is a conversational AI tool built directly into Wealthbox. It helps you find information, summarize CRM data, create drafts, generate reports, and take certain actions in your workspace with your approval.
AI Assistant appears as a sidebar or floating chat window and can be accessed from anywhere in Wealthbox once enabled for your account.
What is AI Assistant?
AI Assistant allows you to ask questions and complete CRM-related tasks using natural language.
You can use AI Assistant to:
- Look up client information
- Find tasks, notes, meetings, workflows, and opportunities
- Summarize CRM activity
- Create draft emails
- Generate reports, charts, and tables
- Create or update CRM records with your approval
- Use saved prompts called Playbooks
- Dictate prompts using your microphone where supported
Availability
AI Assistant is available to all Wealthbox subscriptions.
The only users who may not have access are advisors affiliated with broker-dealers that have not yet approved AI Assistant for use.

- Native iOS app

How to Open AI Assistant
Once enabled, the AI Assistant button appears in the main Wealthbox navigation bar.
Click the AI Assistant icon to open the chat panel.
AI Assistant can appear in two display modes:
Panel Mode
Panel Mode opens AI Assistant as a sidebar on the right side of Wealthbox. You can resize the panel to make it wider or narrower.
Floating Mode
Floating Mode opens AI Assistant as a floating window over your Wealthbox screen. This is helpful when you want to keep more of your CRM workspace visible.
On smaller screens, AI Assistant may automatically open in Floating Mode.
What AI Assistant Can Read
AI Assistant can help find and summarize information you already have permission to view in Wealthbox.
This may include:
- Contacts
- Tasks
- Events
- Meetings
- Projects
- Workflows
- Notes
- Opportunities
- Emails connected through Wealthbox Mail
- Users and teams
- Reports
- Workflow templates
- Financial summaries
- Saved Playbooks
AI Assistant follows your existing Wealthbox permissions and visibility settings. If you cannot access a record in Wealthbox, AI Assistant cannot access it for you.
What AI Assistant Can Create or Update
AI Assistant can help create or update CRM records, but it will always ask for your approval before making changes.
AI Assistant can assist with:
- Creating contacts
- Creating notes
- Creating tasks
- Creating events
- Creating projects
- Creating opportunities
- Creating tags
- Creating email drafts
- Updating contacts, tasks, notes, opportunities, workflows, and drafts
- Deleting certain records
Important: AI Assistant can create email drafts, but it does not send emails for you. You must review and send emails manually.
Approval Required for Changes
Any time AI Assistant attempts to create, update, or delete information in Wealthbox, you will see an approval prompt first.
You can choose to:
- Approve the action
- Decline the action
- Provide updated instructions before proceeding
This helps ensure you stay in control of updates made in your CRM.
For example, if you ask AI Assistant to create a follow-up task, it will show you the proposed task first. You can approve it, reject it, or ask it to change details such as the due date, assignee, or title.
Each action must be approved individually. There is no “approve all” option.
Context Awareness
AI Assistant can understand where you are in Wealthbox.
For example, if you are viewing a contact record, task, event, meeting, workflow, or opportunity, AI Assistant can use that page as context for your request.
You may see context shown as small blue labels above the chat box. You can remove context items if you do not want them included.
AI Assistant can use up to 8 context items at a time.
Using Chat
You can type a question or request into the AI Assistant chat box.
Examples:
- “Summarize recent activity for this contact.”
- “Create a follow-up task for next Friday.”
- “Draft an email to this client about our next meeting.”
- “Show me open opportunities by stage.”
- “Find tasks assigned to me that are overdue.”
Press Enter to send your message, or Shift + Enter to add a new line.
Playbooks
Playbooks are saved prompt shortcuts that help you reuse common AI instructions.
For example, instead of typing a long prompt each time, you can create a Playbook such as:
/weekly-review/lead-to-prospect/meeting-follow-up
When you type the Playbook shortcut, Wealthbox inserts the full saved prompt into the chat.
Creating a Playbook
To create a Playbook:
- Click the slash icon in the AI Assistant input area, or type
/ - Select New Playbook
- Enter a name using lowercase letters, numbers, or dashes
- Enter the full prompt you want to reuse
- Click Save
You can also describe the Playbook you want and ask AI Assistant to create it for you.
Using a Playbook
To use a Playbook:
- Type
/in the chat box - Start typing the Playbook name
- Select the Playbook from the list
- Add any additional instructions if needed
- Send the message
Playbooks are personal to your user account and are not shared with other users by default.
Voice Dictation
AI Assistant includes voice dictation.
You can click the microphone icon, speak your request, and have your speech converted into text in the chat input.
Voice dictation is helpful when you want to quickly describe a client situation, meeting recap, or detailed request without typing.
Voice dictation is available across supported Wealthbox platforms. Availability may vary based on your firm's compliance policies.
Reports, Charts, and Tables
AI Assistant can help generate summaries, counts, charts, and tables based on CRM data.
For example, you can ask:
- “How many open opportunities do we have by stage?”
- “Show tasks due this week by assignee.”
- “Create a chart of contacts by status.”
- “List all open opportunities in a table.”
Charts and tables may appear directly inside the AI Assistant response.
AI Assistant can generate several types of visualizations, including:
- Donut charts
- Bar charts
- Column charts
- Line charts
- Funnel charts
- Big number summaries
- Tables
These are intended to help you quickly understand CRM data without manually building a report first.
Email Drafts
AI Assistant can help create email drafts based on CRM context.
For example, you can ask it to draft:
- A follow-up email
- A client check-in
- A meeting recap
- A next-steps email
AI Assistant will not send the email. You must review and send it manually.
Chat History
AI Assistant keeps a history of your chats.
From Chat History, you can:
- Reopen previous chats
- Search for past chats
- Rename a chat
- Delete a chat from your view
Deleted chats are removed from your view but are still retained for auditing.
Feedback
You can provide feedback on AI Assistant responses using thumbs up or thumbs down.
If you select thumbs down, you can choose a reason such as:
- Wrong information
- Misunderstood my request
- Wrong action
- Incomplete response
- Not helpful
- Other
This feedback helps improve the AI Assistant experience.
Privacy and Auditing
AI Assistant conversations are tied to your Wealthbox user account.
Other users in your workspace cannot see your chats. Wealthbox will retain AI Assistant conversations and actions for support, auditing, and compliance purposes.
A reminder appears in AI Assistant noting that AI responses may contain errors and interactions are logged.
Important Notes
AI Assistant can make mistakes, so responses should be reviewed before relying on them.
AI Assistant should not be used as a substitute for legal, tax, compliance, financial planning, or investment advice.
AI Assistant follows your existing Wealthbox permissions.
Any action that changes CRM data requires your approval before it is completed.
Frequently Asked Questions
Can AI Assistant read my email?
AI Assistant can read emails connected through Wealthbox Mail if those emails are available in Wealthbox and visible to you.
Can AI Assistant send emails?
No. AI Assistant can create email drafts, but it cannot send emails. You must review and send the email manually.
Can AI Assistant make changes in Wealthbox?
Yes, but only with your approval. Any create, update, or delete action requires confirmation before it is completed.
Can AI Assistant run reports?
Yes. AI Assistant can help you generate reports, counts, breakdowns, charts, and tables using CRM data directly within the assistant experience.
AI Assistant does not currently create saved Wealthbox report templates.

Can I use voice dictation?
Yes. Voice dictation is available across supported Wealthbox platforms. Availability may vary based on your firm's compliance policies.
Can other users see my AI Assistant chats?
No. Other users in your workspace cannot see your chats. Wealthbox will retain conversations for support, audit, and compliance purposes.
Why does AI Assistant take time to respond?
Some requests require more processing, especially if AI Assistant is reviewing multiple records, preparing a detailed summary, or generating a report. You can stop a response while it is generating.
Can I delete a chat?
Yes. You can delete a chat from your Chat History. Deleted chats are removed from your view but are still retained for auditing.
