This article covers situations where the AI Notetaker joined your meeting and appeared to begin recording, but the transcript, summary, or follow-up email was never delivered or is still showing as processing.

Why This Happens
Post-meeting processing (transcription and summarization) happens separately from recording and can occasionally be delayed or fail due to a variety of reasons, including:
- The meeting ended before enough audio was captured.
- The recording was very short (typically under 2 minutes).
- A temporary processing issue occurred during transcription.
- The meeting used an unsupported audio format or connection type.
- An interruption affected AI processing services during your meeting window.
What to Check First
1. Wait Up to 45 Minutes
Transcript and summary generation times can vary depending on meeting length and system load.
- Most meetings process within 10–15 minutes.
- Longer meetings may take up to 45 minutes after the meeting ends.
If your transcript or summary is still processing, we recommend waiting before troubleshooting further.
2. Check the Meeting Status in Wealthbox
To review the meeting status:
- Navigate to Meetings from the left navigation menu.
- Open the meeting in question.
- Select the AI Notetaker tab.
- Review any status messages or error indicators.
If you see a message such as:
“Summary prompt template results in a summary that is too long”
this means the transcript was successfully generated, but the summary could not be completed.
In this case:
- Open the Summary tab.
- Click Regenerate Summary.
3. Confirm the AI Notetaker Was Recording
The AI Notetaker must remain actively recording throughout the meeting for a transcript to generate successfully.
Please confirm:
- The AI Notetaker was admitted from the waiting room (Zoom meetings).
- The Zoom host approved the recording permission request.
- The AI Notetaker was not manually removed or stopped early.
4. Check for a Partial Transcript
In some cases, a partial transcript may still be available even if the summary was not generated.
To check:
- Open the meeting in Wealthbox.
- Navigate to the Transcript tab.
- Review whether any transcript content was captured.
If the Transcript Is Still Missing
If more than 45 minutes have passed and no transcript or summary appears, please contact Wealthbox Support at support@wealthbox.com and include:
- The meeting date and time
- The meeting ID or link from Wealthbox
- The meeting platform used (Zoom, Microsoft Teams, Google Meet, or Webex)
- A brief description of what occurred
Example:
“The AI Notetaker joined the meeting and recording appeared to start, but no transcript was generated afterward.”
Our support team can review processing logs and, in some cases, attempt to reprocess the recording.
Frequently Asked Questions
Can a missing transcript be recovered?
In some cases, yes. If the meeting recording was captured successfully, the support team may be able to reprocess it. We recommend contacting support as soon as possible after the issue occurs.
My meeting prep is taking longer than expected. Is that normal?
Meeting prep typically generates within 10–15 minutes. If it consistently takes longer than 30 minutes, please contact support@wealthbox.com for assistance.
The AI Notetaker showed as “processing” and then disappeared. What happened?
This may indicate that:
- The AI Notetaker was removed from the meeting before recording completed, or
- A processing error occurred after the meeting ended.
Please contact support with the meeting details, date, and time so the team can investigate further.
