How to Enable the Kapitalwise Integration in Wealthbox
Step 1: Access the Apps Section — Log in to your Kapitalwise account and navigate to Settings, then select Apps from the menu. You will see a list of available integrations, including the Wealthbox app with the Wealthbox logo.
Step 2: Install the Wealthbox App — Locate the Wealthbox app in your integrations list and click the Install button. An authorization dialog will appear confirming the data that will be shared with Wealthbox during this integration, including First Name, Last Name, Email Addresses, Tags, and Notes.
Step 3: Review and Configure — Review the data sharing permissions to confirm what prospect information will sync between platforms, then click the Configure button to proceed with authorization.
Step 4: Authenticate Your Wealthbox Account — You will be redirected to the Wealthbox login page. Enter your Wealthbox login credentials (User ID and Password) and click Log In to authenticate and establish the secure connection.
Step 5: Confirm Installation — Upon successful authentication, you will be redirected back to the Kapitalwise Apps page. The Wealthbox app will now display as Installed, confirming the integration is active, and you can begin setting up automated workflows to move leads between platforms.
How to Create Workflows to Move Leads from Kapitalwise to Wealthbox
Once the integration is installed, you can automate the process of moving leads from Kapitalwise to Wealthbox using workflows. Workflows allow you to set up rules that automatically send specified prospects to your Wealthbox account without manual intervention.
Understanding Your Workflow Options
The Kapitalwise + Wealthbox integration provides two primary workflow actions:
1. Create Contact - Automatically add prospects to your Wealthbox contact list
2. Create Opportunity - Automatically place prospects into specific deal stages in Wealthbox
Both actions eliminate manual data entry and ensure consistent lead routing.
Creating Your First Workflow
Step 1: Access the Workflow — From your Kapitalwise dashboard, click the Workflow icon in the left navigation panel. Click "Create Workflow" then "Start from Scratch" to open the workflow canvas.
Step 2: Select Your Trigger — Click on the Trigger section in the workflow canvas and select Tag from the available options. Choose the tag that identifies your Kapitalwise prospects (for example: "Kapitalwise Leads"). Tags should be assigned to your prospect audiences when you first bring them into Kapitalwise.
Step 3: Add the Wealthbox App Action — Click Apps Action in the workflow canvas and search for the Wealthbox app. Select it from your available integrations, and you will see two action options: Create Contact or Create Opportunity. Select the action that matches your workflow goal.
Step 4: Configure Your Action — If using Create Contact, select the contact tag you want applied to these prospects in Wealthbox (e.g., "KW Lead") to help organize and filter these leads. If using Create Opportunity, configure the opportunity details, including Name, Description, Probability, Target Close Date, and Amount, then click the Stage dropdown to select from Wealthbox's default deal stages and choose where you want Kapitalwise leads to appear in your pipeline.
Step 5: Activate Your Workflow — Review all workflow settings to ensure they're configured correctly, then click Save and Exit. Your workflow is now live and will automatically send matching prospects to Wealthbox. You can monitor your workflow's performance by clicking on the report icon for that workflow.
View Your Prospects in Wealthbox
Once your workflow is activated, qualified prospects that meet your trigger criteria will automatically move to your Wealthbox account. Log in to verify that prospects are appearing in the correct location.
For Contacts: Navigate to the Contacts tab to see your prospects along with their tags, audience segments, and all synced information.
For Opportunities: Navigate to the Opportunities tab to see where your prospects appear in your deal pipeline at the stage you configured.
