Managing and Using Multiple Email Addresses in Wealthbox

When working with contacts in Wealthbox, effective management of email addresses ensures that your emails always reach the intended recipient. Here's a comprehensive guide to help you understand how to manage and use multiple email addresses, set default sending addresses, and customize email settings for improved clarity.

 


1. How Contacts' Email Addresses Are Handled

Wealthbox allows each contact to have multiple email addresses. However, the system will always use the one marked as the Primary Email Address to send emails by default. To manage a contact's email addresses, follow these steps:

  1. Open the contact's page.
  2. Click the contact's name, then choose "Options" > "Edit."
  3. Add or modify email addresses in the contact information section and designate the primary email address by marking it accordingly.

If you need to send emails to secondary email addresses, you must manually add them as CC recipients. Wealthbox does not support sending emails automatically to non-primary addresses. Ensure the primary email corresponds to the preferred recipient email to avoid confusion.

 


2. How Emails Are Sent and Displayed

When sending emails from Wealthbox, the "From" field will display the email address synced with your account. This is the address used by default to send emails if your individual email is connected. To send emails from another address:

  • Sync a Shared Email instead of your individual account.
  • Select the appropriate shared or individual email in the "From" field while composing your email, particularly for broadcasts.

Emails will always show as being sent from the synced and selected email, depending on your configuration.

 


3. Customizing Email Types to Enhance Clarity

For contacts with several email addresses, customized email types can help distinguish their purpose (e.g., "Work Email," "Personal Email"). To create and apply these customizations:

  1. Go to Settings > Customizations in Wealthbox.
  2. Under "Custom Types," select Email Type and choose "Create Email Type."
  3. Assign a unique email type to each address when editing the contact details.

This feature ensures that your team understands which email address is most appropriate for various communications.

 


Troubleshooting and Best Practices

  1. Handling Multiple Addresses: Verify the primary email address for each contact to ensure emails are routed correctly. Remove outdated or unused email addresses where necessary to avoid errors.
  2. Managing Updates: Be aware that certain updates in Wealthbox may temporarily affect visibility, such as previewing selected email addresses when composing an email. Monitor release notes or contact support for updates on resolved functionality.
  3. Manual Adjustments: For unique scenarios (e.g., emailing multiple addresses of the same contact), adding CC recipients manually ensures no address is missed in communication.
