Calendar synchronization in Wealthbox allows users to manage event visibility and integrate various calendars effectively. This article provides a comprehensive guide to managing synchronization settings, troubleshooting visibility issues, and setting appropriate permissions for calendar events in Wealthbox.

Impact of Syncing on Event Visibility

Syncing calendars with Wealthbox can sometimes lead to challenges regarding event visibility. Here are the key considerations:

  • Existing Events Visibility: When calendar permissions are updated to "Everyone" or other levels after syncing, the change will only apply to future events. Pre-synced events retain their original visibility settings and do not inherit the new permissions. To apply the new permissions to existing events, you would need to either manually update visibility settings for each event or delete the synced events, adjust the permissions, and resync them. This will ensure all events are correctly accessible to intended users.
  • Deleting and Re-Syncing: Deleting all synced events from your Wealthbox calendar will irreversibly remove them, including assigned categories and contact relations. If you need all of your calendar events deleted so you can re-sync them with new visibility settings, please reach out to Support, and they will be happy to assist in this matter.
     

Setting Default Permissions for Future Events

To streamline calendar sharing moving forward, users can set default visibility permissions in Wealthbox. Future events synced into Wealthbox will follow these permission settings:

  1. Click on the three dots (...) in the upper-right corner of the Wealthbox interface.
  2. Select Applications from the dropdown menu.
  3. Scroll to Outlook Calendar and click on Settings.
  4. Adjust the default visibility settings, selecting options like "Everyone" or a specific group.
  5. Save the settings.

Keep in mind that changes made here will only affect future events, leaving previously synced ones unchanged.

Troubleshooting Event Visibility

If you are unable to view events from other users or certain categories in Wealthbox, try the following steps:

  1. Verify that the correct username (e.g., your colleague’s name) is selected on the right side of your calendar in Wealthbox.
  2. Check the "Uncategorized" section, as some events might not have been assigned a category.

If the issue persists, further investigation or support may be required.

Private vs. Public Event Permissions

By default, private events from an integrated Outlook calendar might still be visible in Wealthbox due to sync settings. Wealthbox does not currently enable advanced permissions for restricting visibility of private events. To keep private appointments undisclosed:

  • Use a separate calendar for private events.
  • Alternatively, manually edit the event in Wealthbox to adjust its visibility settings.

This functionality ensures a balance in privacy and shared accessibility.

Best Practices for Synchronization and Visibility

  • Manual Visibility Updates: For existing events, manually update visibility settings via the event edit option in Wealthbox.
  • Thoughtful Permissions Setup: Configure default permissions before syncing calendars to avoid visibility conflicts later.
  • Separate Personal Calendars: Keep private events organized in a separate, non-synced calendar to maintain confidentiality.
