Overview

Wealthbox provides tools for seamless email integration to ensure efficient communication with clients. Proper setup and maintenance of email accounts are crucial for maintaining functionality and retrieving emails effectively. Below are detailed instructions for common email configuration tasks.

1. Syncing Email Accounts

Updating Email Credentials

If you switch email addresses linked to Wealthbox or update your email password, ensure your credentials are updated for proper syncing:

  • Verify whether you need to connect the new or old email address.
  • Confirm your credentials and host settings (such as Office 365, Exchange, etc.).
  • Consult with your IT administrator for assistance.

Password Update for Email

If you change your email's password and experience syncing issues:

  1. Navigate to Settings > Email Settings > Email Accounts in Wealthbox.
  2. Locate your email and select the three-dot menu.
  3. Choose Re-sync Email.
  4. If re-syncing is not available, disconnect and reconnect the email.

This method ensures your new credentials are captured.

Resolving Syncing Errors

If emails fail to sync despite being connected:

  1. Reset the email cache in Wealthbox.
  2. Clear your browser cache. - Example for Chrome: Go to Settings > Privacy and Security > Clear Browsing Data, select Cached Images and Files, and clear the data.
  3. Reload Wealthbox.

If the issue persists, contact support for additional troubleshooting.

 

2. Connecting and Disconnecting Email Accounts

Switching to a New Email Address

To transition between email addresses:

  1. Go to Settings > Email Accounts.
  2. Click the three-dot menu next to the old email and Disconnect.
  3. Select Connect New Email and follow the prompts.

Steps for Connecting a New Account:

  1. Open Settings via the three-dot menu.
  2. Navigate to the Email Accounts tab.
  3. Disconnect the old email by selecting the three-dot menu and choosing Disconnect.
  4. Under Individual Accounts, click Connect New Email.

Reconnecting ensures all historical emails sync properly.

 

3. Linking Emails to Client Records

Outlook Email Conversion to Wealthbox Contact Records

If the Outlook email does not match the Wealthbox contact’s email address:

Option 1: Add Email as a Note

  • Copy the URL of the email from Wealthbox, and paste it into the contact’s Notes section.

Option 2: Use the Wealthbox BCC Dropbox

  • Forward the Outlook email to your Wealthbox BCC Dropbox address.
  • In Wealthbox, open the email, click Actions > Edit, and associate the email with the contact.
