If you're transitioning from Advisor360/Commonwealth to Wealthbox, this guide will help you prepare and organize your data for a smooth migration.
What You Can Export
Advisor360/Commonwealth allows you to either run exports directly from your account or request a full data backup from the Advisor360 support team. If you're unsure whether your manual exports include all the necessary data, such as activity descriptions, we recommend requesting a full backup to ensure completeness and accuracy during the migration process.
What Data Is Included
The main components typically included in your export are:
Contacts
Households
Activities
Important Notes Before Migration
Household File May Include Company Records
The “Household” export may contain both household and company records. If your firm tracks company records in Advisor360, please provide clear criteria to help distinguish companies from actual households. Without this clarification, all entries will appear in one file and may not be categorized correctly during migration.
Custom Field Labeling
Custom fields in Advisor360 are labeled generically as “Custom field 1,” “Custom field 2,” and so on. If your team uses custom fields for Contacts or Households, please provide the actual field labels or a mapping guide so we can properly import them into Wealthbox.
How Activities Are Handled in Wealthbox
During the migration, activity data will be imported into Wealthbox as Notes, Tasks, or Events, depending on the type of each activity.
Review Before Submitting Your Files
Check for Activity Descriptions
Ensure your exported activity file includes descriptions. If it does not, we recommend requesting a full backup from Advisor360, as descriptions are typically included only in that format.
Check for Created Dates
Advisor360 activity exports may not include a created date. In these cases:
If the activity has a valid activity date, we will use that as the created date.
If the activity date is in the future, we will use the date of the migration as the created date to maintain accuracy within Wealthbox.
Future-Dated Activities
Any activity with a future date will still be scheduled in Wealthbox as an event or task. The created date for these items will be set to the date of migration, but the scheduled or due date will remain unchanged.
