How does email visibility work when users are also contacts?

Emails between users

The system does not allow users to see emails between other users if a user has their own contact page. If a contact is created for a user, and the email address that is listed on their record is the same one that they use to log in, then when a different user views the record, they will only be able to see emails between that user and themself. They will not be able to see any emails between that user and other users, despite the visibility settings of either user’s email address (unless they were CC’d or BCC’d into the thread).

  • For example, an account has three users, A, B, and C. All three users have their email address synced (which is the same one they use to log in), and they are all set to be visible to “Everyone”. All three users have also created a contact record page for themselves, also visible to “Everyone”.

    If user A goes to user B’s contact record, they will only be able to see the emails between themself and user B. They will not be able to see any emails between user B and user C. (If user A goes to a contact record that is not for user B or C, they will still see the emails between user B, C, and those contacts.)

This rule does not apply if the synced email address is not the same as the email address that they log in with. For this reason (among others), we would recommend that all users use the same email address for both.

Emails on your contact record

If you sync your email and also have that synced email address added as an email address on your contact record, you will see all of your email synced to your contact record, but other users will not. Other users will only see the emails between you and them.
