The Suggested Actions feature in Wealthbox enables advisors to contact clients directly from Workflow Steps or Tasks—without navigating away from the page. When you create a step or task with a title that begins with the word “Call” or “Email,” Wealthbox automatically displays a corresponding Call or Email action button when the step or task is opened. This helps advisors complete key client communications quickly and efficiently.
Suggested Actions are part of Pro and Premier-level Wealthbox plans.

How Suggested Actions Work
Suggested Actions enhance workflows and tasks by turning specific step names into instant action points. When a workflow step or task starts with “Call” or “Email,” Wealthbox recognizes the prompt and adds the matching action button. This design streamlines task completion and helps advisors stay focused on client relationships rather than navigation.
For example:
"Email client summary" will display an Email action button, allowing the advisor to click, compose and send an email immediately.
"Call client to review portfolio" will display a Call action button, connecting the advisor directly to the client’s contact information and Click-to-call feature.
Important Note: When a workflow step title includes both “Email” and “Call,” the system will only recognize the first action listed. To ensure accurate suggested actions, use only one of these terms per step or task.
Adding a Suggested Action to a Workflow Step
1. Navigate to Workflows
From the Wealthbox main menu, click on “Workflows”.
Select "Manage Templates" in the upper right corner of the screen
Click "Edit" for the workflow you want to add the action to, or click "Add Template" to add a new template.
2. Select or Add a Step
Click on an existing step to edit it or click “Add Step” to create a new one.
A step editing panel will appear on the right-hand side.
3. Enter Step Name
The call or email suggested action will automatically be added to the step based on the Workflow step name.
For example:
“Email client using the Onboarding template.”
“Call client to review investment objectives.”
"Email meeting summary."
4. Save the Step
After entering the suggested action and any other details (e.g., due date settings, assignments, etc), click “Add Step" (when adding a new step) or "Apply Changes" (editing an existing step).
5. Save the Workflow
Once you've finished editing all relevant steps, click “Save Template” in the lower right to finalize your changes.
Adding a Suggested Action to a Task
1. Navigate to Tasks
Go to the Tasks tab from the Wealthbox main menu.
2. Create a New Task
Click “Add Task” and enter a title such as “Call Back”, ensuring it is related to a contact with a phone number.
3. Save the Task
After entering the title and any relevant details (e.g., due date, assignments, etc.), click “Save Task.”
4. Open the Task
When you're ready to complete the task, click the task name to open a pop-out window with the task details. You will see a “Call” suggested action based on the task title.
5. Use the Suggested Action
Click the “Call” button and select the desired phone number to initiate the call using Wealthbox’s Click-to-Call feature.
Troubleshooting
Issue: The Email or Call suggested action button does not appear when starting a workflow or opening a task, even after all setup steps have been followed.
Solution: Verify that the contact related to the workflow or task has the necessary contact information entered on their record:
For Email actions, ensure the contact has an email address listed.
For Call actions, ensure the contact has a phone number listed.
If this information is missing, the suggested action buttons will not display. Once the contact record is updated, reopen the workflow or task to confirm the buttons appear as expected.
Issue: When clicking the Email suggested action button, an email compose window opens in an external email service (such as Gmail or Outlook) instead of directly within Wealthbox.
Solution: Ensure you have Open email links in Wealthbox Mail set to "Yes"
- In the top-right corner, click the three stacked dots (⋮) and select “Settings.”
- Select "Email" in the left side panel
- On the "General" tab, scroll to the “Email Links: Open email links in Wealthbox Mail?” setting.
Select “Yes” to enable this option.
