Wealthbox allows users to track important milestones and life events for contacts using the Special Dates feature. These dates help teams stay informed and organized around key client-related events.
The following types of special dates can be recorded:
- Birthdate – Tracking client birthdays is a simple way to both strengthen relationships and stay ahead of key planning opportunities. Wealthbox will automatically calculate and display the contact’s current age next to their birthday on the contact record.
- Client Since – Tracks when the individual became a client, which can be helpful for service anniversaries or client tenure reporting.
- Anniversary – Can represent a wedding anniversary or another meaningful recurring date relevant to the client.
- Date of Death – A sensitive but important date for record-keeping and estate planning workflows.
Where do Special Dates display?
- Home Screen: The home screen will display a "Special Dates" widget on the right side of the screen. Only Special Dates for active contact records within the next 7 days will be displayed on the homescreen. If you do not have any Special Dates upcoming in the next 7 days for active contact records, the section will be suppressed and will not display.
- Contact Screen: The contacts' Special Dates will display on the right side of the screen under the "Upcoming Activity" widget. Wealthbox will also display the contacts' age next to their birthday, anniversary, and the number of years they have been clients next to "client since."
- Calendar: Wealthbox is set to display the Birthday and Anniversary special dates for all active contacts that a user has visibility access to, if you check the "Special Dates" box. This is an all-or-nothing setting. Unfortunately, you cannot display birthdays on a contact-by-contact basis or by contact type.
- Daily Digest: The "Daily Digest" email notification, which goes out daily, will also remind you of clients ' dates, birthdays, and anniversaries on the current day for active contact records. For data privacy practices and a commitment to safeguarding personal information, the birth year will not be displayed in the Daily Digest. This cannot be changed.
What are common Special Date questions and best practices?
Q: How do I add a client's birthday in Wealthbox?
A: To add a client’s birthday in Wealthbox, go to the contact’s record and use the Special Dates section. Click “+ Add Special Date”, then choose the “Birthdate” label from the dropdown menu and enter the appropriate date. This will save the birthday to the contact's profile and display their age next to the date automatically.
Q: Is it possible to add additional "Special Dates" options?
A: It is not currently possible to customize or add a custom Special Date type. However, you can add a custom date field from the Settings > Customizations > Custom Fields page. These dates won't be classified as Special Dates.
Custom Fields will display and can be maintained on the "edit" page for Contacts, and will not show while viewing a contact record unless data is populated in the field. Custom fields appear on the right side of the screen under the contact details section when viewing a contact record. All custom fields are available to report on from the Wealthbox reports module.

Q: Does Wealthbox send automated alerts for Special Dates (e.g., anniversaries, client-since dates, deaths)?
A: No. Wealthbox doesn’t trigger alerts or notifications for Special Dates. This includes birthday or age based notifications. Instead, all Special Dates live on the contact record for you to review at any time. Birthdays and anniversaries will also display on the calendar screen.
The Daily Digest will list client since, birthdays and anniversaries that occur on that day for any active contacts that the user has permission to view. This gives advisors a daily heads-up to acknowledge important milestones and engage with clients in a timely, thoughtful way.
If you're looking to be reminded of special dates outside of the daily digest, we recommend creating custom reports or using tags and tasks for proactive tracking.
