Account Owners on the Premier plan of Wealthbox can share Workflow Templates across their workspaces by selecting "Yes" for the Share this template with my workspaces” option.
This option will only display for the account owners of Premier and Enterprise plans.
What are common questions and best practices when sharing Workflow templates?
Q: Can Workflow Templates be shared with different Wealthbox Accounts?
A: No, Workflow Templates cannot be shared across different Wealthbox accounts. Each Wealthbox account maintains its own workflows independently, and there is currently no functionality to transfer or share templates between accounts.
Q: Can I import or export workflow templates to share them?
A: Workflow templates cannot be exported or imported.
Q: Can I restrict the users or workspaces to whom I share templates?
A: There is no way to selectively share a template with a limited number of users or workspaces for the subscription. When the share option is toggled on, the template is shared with all users and all workspaces under the account.
Q: How are shared templates edited?
A: When a workflow is shared across workspaces, only users (typically the account owner) with the share permission can edit the shared workflow templates.
- Editing the original Template will update the shared template in all workspaces.
- Modifying the template in a non-original workspace will also change the template in the workspace where the template originated.
- Modifying any workflow template will not change any in-progress workflows that were started from that template.
- If users in the other workspaces want a customized version, they can duplicate the workflow template and make it their own.
Q: What happens when a shared workflow template is deleted?
A: Deleting a shared template from any workspace will delete the template from all workspaces. Any in-progress workflows will remain.
Q: What happens when a shared workflow template is unpublished?
A: Unpublishing the template in any workspace will unpublish it in all workspaces. Any in-progress workflows will remain.
Q: Why don't I see my existing Teams under "Assign to?"
A: If your workflow template is set to share, Wealthbox removes the teams from the "Assign to" workflow step option because teams are workspace-specific.
Q: Why can I not assign a workflow step to a team when the template is shared?
A: Because they are workspace-specific, you will first need to remove the team assignment from the applicable workflow step.
Q: Who can edit shared workflow templates in Wealthbox?
A: When a workflow is shared across workspaces, only users with the "share" permission—typically the account owner—can edit the shared workflow templates. Other users can use the template but cannot make changes to it. Account owners can contact Support@Wealthbox.com and request permission for additional workspace users. Be sure to include the user name in your request.
