How to Enable the Integration

To enable the Calendly integration with Wealthbox via Zapier, follow these steps:

  1. Create a Zapier account: If you don’t have one yet, sign up for a free Zapier account here.
  2. Connect Calendly and Wealthbox: In Zapier, search for and select Calendly and Wealthbox as the apps to integrate.
  3. Configure the Zap: Choose triggers and actions, such as creating a new event in Wealthbox when an appointment is scheduled in Calendly.
  4. Test the integration: Run a test to ensure that the integration works smoothly and that meetings are syncing correctly between Calendly and Wealthbox.
  5. Activate the Zap: Once everything is set up, activate the Zap to automate your workflow.

 

How Does the Calendly Integration Work?

When you connect Calendly with Wealthbox via Zapier, the integration allows scheduled appointments to flow directly into Wealthbox, creating new events linked to your contacts. Here’s how the data flows:

  • Contact Matching: Events scheduled in Calendly can be automatically linked to your Wealthbox contacts through Zapier, making it easier to manage appointments.
  • Data Refresh Schedule: Events are updated in real-time. If there are any changes to the meeting time or details in Calendly, they will be reflected in Wealthbox after syncing.

 

Troubleshooting & FAQs

  • Why isn’t my data syncing between Calendly and Wealthbox?

    • Ensure that the Zap is correctly configured and active. Double-check the triggers and actions set in Zapier, as well as your account connections.
  • Why are some events not linking to contacts in Wealthbox?

    • For automatic syncing of events to contacts, you’ll need to set up a custom Zap that links Calendly events to specific Wealthbox contacts. Without this, events may not be linked to the correct contact.
  • Can I block time in Wealthbox, and have it reflect as unavailable in Calendly?

    • Currently, it is not possible to block off time on your Wealthbox calendar and have it automatically reflect as unavailable in Calendly. Calendly will only show the available times based on its own settings and the calendar linked to it (e.g., Outlook or Google Calendar).
  • What if I already have a calendar service linked to Outlook or Google Calendar?

    • If your Outlook or Google Calendar is linked to Wealthbox, appointments created in Calendly (if also synced to the same calendar) will appear in Wealthbox. However, you’ll need to manually link those events to the corresponding contacts in Wealthbox.
  • Do I need a paid Zapier plan?

    • The free version of Zapier allows you to create Zaps with 1 action and 1 trigger. If you require multi-step Zaps or have a high volume of events, you may need to upgrade to a paid Zapier plan.
