How do I add, remove or replace Users in Wealthbox?

Account Owners and account admins with manage user privileges can add new users to a specific Workspace.

Adding a new user:

To invite a new user to your workspace, account owners or admin users with "manage users" access in the specific workspace can follow these steps:

  1. In the top-right corner, click the three stacked dots (⋮) and select “Settings.”
  2. Go to Workspace > Users.
  3. Click “Invite Users.”
  4. Fill out the user’s first name, last name, email address and click “Invite Users.”
  5. New User Invites: When a user is newly added to a workspace for the first time, they will receive an email notification to complete their account setup.
    • Removed users who are re-added will not receive invites.
    • Existing users added to additional workspaces will not receive invite notifications.

Additionally, you can give the new user Admin Privileges, the ability to manage users and/or the ability to export data by checking the boxes. If applicable, you can also set the user's default visibility permissions and prevent the user from changing this default.

Monthly billed accounts:

  • The new user will have access immediately.
  • You are charged when the new user accepts an invitation. The charge is prorated through the end of the monthly cycle.

Annually billed accounts:

  • The new user will have access immediately.
  • The account will be billed immediately when adding the user, whether they accept the invite right away or not. The charge is prorated through the end of the annual billing cycle.

 

Removing a user:

To remove a user from your workspace, account owners and admin users with "manage users" access in the specific workspace can follow these steps:

  1. Click on the three dots in the top right corner of Wealthbox.

  2. Go to settings > Workspace > Users

  3. Click on the dropdown arrow for the user you would like to remove, then click “Remove access.”

NOTE: If you use multiple workspaces in Wealthbox, you will want to remove the user from each workspace they have access to, which will prevent the user from logging in and eliminate future charges for the user seat (see articles below for more information) .

Monthly billed accounts:
  • Monthly billing is prorated, so accounts are only charged for the number of days the user is in the account until they're removed.

    By removing the user from your account, your billing will automatically be adjusted to reflect on your next invoice for the time unused by the user. You will see this once your next month's invoice has been generated.

Annually billed accounts:

  • The user will no longer have access to the account. You will continue to be billed for the seat until the contract expiration date. The vacant seat can be filled by a new employee.

Replacing a user:

 

IMPORTANT: To replace a user, you will want to remove the existing user before adding the new user.

Billing Info:

It is important to remove the old user before adding the new user to avoid an increase in your user seats.

 

If the existing user is removed before adding the new user, the existing seat will be vacant and the new user will fill that vacancy. This would result in no change in your invoice. If the new user is added before removing the old user, the seat minimum will be raised and you will have a vacant seat. This would increase your invoice.
