How do notifications work in workflows?

Wealthbox will email and push in-app workflow notifications when the user elects to receive the notifications and the applicable trigger is met within a workflow.

Verifying notification settings

Each user can configure their notification settings by:
1. In the top-right corner, click the three stacked dots (⋮) and select “Settings.”
2. Select "Notifications" in the sidebar.

Sequential workflow notifications

In sequential Workflows, steps are activated one after another in a specific order. Notifications are sent to keep assigned users informed when it’s their turn to take action.

    • When a sequential Workflow starts, the user assigned to the first step receives an email notification if they have the "Email me with CRM activity updates..." box checked.
    • If the workflow step or a subtask is assigned to the user who started the workflow, a notification is not sent.
    • As each step is completed, the next step becomes active, and the user assigned to that step or any subtasks is notified.
    • Notifications occur at each step assignment change to ensure the next responsible person is aware of their action items.

Important Note About Notifications Between Steps:

    • If a user completes a step and is also assigned to the next step or a subtask under the next step, Wealthbox does not send a notification for the next step/subtask.
    • Notifications are only sent when the user assigned to the next step/subtask is different from the person completing the previous step.

Summary of Notifications for Sequential Workflows:

Non-Sequential workflow notifications

If the Assigned User Starts the Workflow:

    • Wealthbox does not send a notification when the Workflow starts.
    • Wealthbox does not send notifications for individual Workflow steps.
    • The only notification sent is when the entire Workflow is completed.

If Someone Other Than the Assigned User Starts the Workflow:

    • Wealthbox sends a notification when the Workflow is started.
    • Wealthbox does not send notifications for individual Workflow steps.
    • No additional notifications are sent until the Workflow is completed (unless manually communicated using the reply feature).

Complete Step + Notify

The Complete + Notify feature in Wealthbox Workflows allows users to complete a workflow step and simultaneously notify another team member. This feature enhances team communication and ensures the right people are aware of progress or actions they need to take, beyond the standard automatic notifications for sequential workflows.
 
You can use Complete + Notify when:

    • You want to alert a colleague that a step has been completed, even if they’re not assigned to the next step.

    • You need to highlight a milestone or provide context to someone specific about the progress being made.

    • You want to proactively communicate with team members outside the normal workflow notification sequence.
