How does “notifying” and "auto-notifying" work, and what are common questions?

Notifying is a useful way to keep coworkers in the loop of important CRM data entry via email.  Users in your Wealthbox account can be notified by email when something is added by choosing the “Notify” field in the lower left corner of the activity's publisher.

How to Notify a Colleague of a new entry

Step 1: Add the activity

Step 2: Select "Notify

To notify someone within your workspace of a new entry, select the "Notify" option.

Step 3: Add users to the notification

Start typing the first letters of their name to get the auto-fill options.  

Choose a coworker's name from the roll-down list.  When you add the CRM data (eg, a new contact name or task), the person(s) you selected for notifications will receive an email notifying them of the new CRM data input and any notes you’ve written, along with a link back to Wealthbox and the specific CRM data entry.

Step 1: Go to the Activity You Want to Comment On

Navigate to the appropriate note, workflow step, task, event, opportunity, or project where you want to leave a comment. You can also 

Step 2: Add a Comment

Scroll to the comment section and type your message in the comment box.

Step 3: Use the “Notify” Dropdown

Below the comment box, you’ll see a “Notify” dropdown. This allows you to select one or more colleagues who should be alerted to your comment.

Step 4: Choose Who to Notify

Click the dropdown and check the box next to the names of the teammates you want to notify. These colleagues will receive a notification with your comment. Click "Save."

Step 5: Post the Comment

Click “Comment” to post your note and trigger the notification to your selected teammates.

 

Understanding Auto-Notify in Wealthbox

Wealthbox includes an auto-notify feature designed to streamline internal collaboration by automatically notifying relevant team members when you take certain actions. Once enabled, this eliminates the need to manually select who should be informed for common tasks and comments.

Auto-notify automatically suggests or pre-selects users to be notified when you're adding comments on activities, tasks, notes, events, opportunities, or projects.

Wealthbox intelligently determines who to suggest based on:

  • Who is assigned to the item.

  • Who has commented previously.

  • Who is tagged in the record.

  • Who is following the contact or object.

How It Works in Practice

When you open the “Notify” dropdown while commenting:

  • You may see one or more users pre-selected.

  • Wealthbox added these users automatically based on their involvement.

  • You can choose to keep, remove, or add additional teammates before posting your comment.

This helps ensure that:

  • The right people are kept in the loop.

  • You don’t miss notifying collaborators.

  • You save time during regular workflows.

How to enable Auto-Notify

Step 1:  Navigate to your notifications settings screen

In the top-right corner, click the three stacked dots (⋮) 
From the dropdown menu, select “Settings.”
On the left-hand side menu, click “Notifications.”

Best Practices

  • Review the auto-selected users to confirm they’re appropriate for the context.

  • Don’t rely solely on auto-notification: Add or remove users as needed to match the importance or sensitivity of the update.


Common questions 

Q: Why don’t I see the “Notify” option when replying to an activity in Wealthbox?

A: There are a couple of common reasons why the "Notify" option might not appear:

1. The visibility of the activity is set to “Only Me.”
If the original activity you're replying to is private (visibility "Only Me"), the "Notify" option will not display. To resolve this, check the visibility settings of the activity and update it to be visible to others in your workspace if appropriate.

2. You're the only user in the workspace.
The "Notify" option is used to alert other team members. If you're the only user in the workspace, there are no other users to notify, so the option won’t appear.

Q: Can I notify more than one user at a time?
A: Yes. You can select multiple colleagues from the “Notify” dropdown when adding a comment or note.

Q: Can I see who was notified on a reply or post?
A:
Currently, it is not possible to see who was notified of an item in Wealthbox after the fact.
