The Teams feature enhances collaboration and task management within your firm. It allows you to group users, such as departments or project teams so that you can assign tasks and workflow steps to an entire team rather than individual users.
Key features of Teams:
-
Centralized Task Assignment: Assign tasks to a team instead of a single person. This ensures that all team members are notified and can take ownership as needed, promoting flexibility and accountability.
-
Improved Workflow Management: You can assign workflow steps to teams, making it easier to manage complex, multi-step processes across departments or groups.

Enhanced Visibility: Team members can filter tasks by team, view upcoming items, and stay aligned on shared responsibilities.
How a Team assignment works:
- The Teams feature in Wealthbox is designed so that a task or workflow step assigned to a team can be completed by any member.
- Once one person marks it complete, it’s marked complete for the whole team.
- It doesn’t assign the task individually to each team member.
Use case example:
- Assigning a "Prepare onboarding documents" task to the "Operations Team" ensures anyone on that team can take ownership and complete it.

Common questions and best practices for Teams:
Q: What is the difference between Teams and Groups?
A: Teams are used to assign tasks and workflow steps to multiple users, making it easier to collaborate and manage shared responsibilities. In contrast, Groups control visibility and access to CRM records like contacts, notes, and tasks, helping ensure that information is only seen by the appropriate people. While Teams support task management, Groups are focused on permission settings.
Q: How do I add someone to a Team?
A: The account owner or another existing team member with admin privileges can add other users to a Team. It is not currently possible for users to add themselves as a member of an existing team in Wealthbox.
