What does it mean to assign Workflow steps to a Contact Role?

Contact Roles are custom “assigned to” fields for contact records. When a user is assigned to a Contact Role, they will automatically have access to the contact and be notified about that assignment according to their preferences. This link covers managing contact roles in Wealthbox.

Assigning workflow step to contact roles:

The below steps provide instructions to assign contact roles to steps in new and existing workflow templates.

 

New workflow templates

  1. Click "Workflows" in the left-hand navigation

  2. Click "Manage Templates"

  3. Click the "Add Template" button on the template you want to update

  4. Click "Add Step"

  5. Assign the desired role

  6. Click the "Save Step" button

  7. Add any additional steps

  8. Click the "Save Template" button

Existing workflow templates

  1. Click "Workflows" in the left-hand navigation

  2. Click "Manage Templates"

  3. Click the "Edit" button on the template you want to update

  4. Click the "Edit Step" (pencil) button for the step you want to reassign

  5. Assign the desired role

  6. Click the "Save Step" button

  7. Update any additional steps

  8. Click the "Save Template" button

Start the template for a contact

When you start a workflow for your contact, any roles in the template will automatically be assigned to the same users assigned to those roles on the contact:

 

If any roles are unassigned on the contact when someone tries to start a workflow that requires them, Wealthbox will prompt them to add the missing roles:
